Applicant and Employee Privacy Policy
What we ask applicants for, who reads it, how long we keep it, and how to have it deleted.
Effective 1 August 2026
This policy applies to people who apply for a role through this website, and to current employees as regards data held in company systems.
What we collect from applicants
The application form collects:
- the role applied for;
- your name;
- your email address;
- your telephone number;
- a portfolio or profile link, if you give one;
- your covering message;
- the CV file you attach;
- the language you were reading in, the page you applied from, and the time.
We do not ask for sensitive data — religion, ethnicity, criminal record or health information — during application. If your CV happens to contain any, it plays no part in the assessment.
A suggestion: do not attach a copy of your ID card, house registration, or a photograph showing your national ID number at the application stage. We ask for those only if an offer reaches the contract stage.
What we use it for
Assessing your fit for the role, arranging interviews, and telling you the outcome. The lawful basis is steps taken at your request before entering an employment contract.
With your permission we may keep your application on file for other roles that open later. In that case the basis is consent, and you can withdraw it at any time.
Who can see it
Only the people involved in hiring for that role — the directors and the team lead recruiting. Applications are not circulated generally inside the company and are not passed to anyone outside it.
How long we keep it
- Unsuccessful applicants: no more than one year from the date the role closes, after which both the record and the attached file are deleted.
- Applicants who agreed to be kept on file: no more than one year, or until consent is withdrawn, whichever comes first.
- Successful applicants: the data moves into the employee file and is kept for the periods labour and tax law require.
Employee data
For current employees, the company holds what employment, payroll, tax and social security filings, and personnel administration require. The full detail, including the use of company equipment and accounts, is in the internal documentation issued when you join.
Your rights
You have the same rights set out in the Privacy Policy, including asking us to delete your application before the retention period ends. Write to [email protected], giving the role you applied for and the email address you applied with, so we can find the right record.
