Process Optimisation

Document Tracking

Internal documents and parcels tracked by QR — who holds it, since when — on paper or paperless.

Process Optimisation

The situation

A document goes missing and nobody is at fault, because nobody knows where it stopped. The sender says it went, the recipient says it never came, and both are telling the truth.

Tracing one document means ringing round the departments. Half a day gone for a single sheet of paper.

How it works

Every envelope carries its own QR. Couriers scan on pickup and on handover — under a second each — and that produces a complete chain of who held it and when.

Senders and recipients generate their own cover sheets, printed or paperless, so the whole organisation does not have to change how it works on the same day.

When someone asks where something is, nobody has to phone anyone. The current holder and how long it has been sitting there are on screen.

What changes

  • Losses down to near zero
  • Tracing a document went from hours to under five minutes
  • Immediate visibility of anything stuck longer than it should be
  • Clear custody, so no one argues about who lost it

Who it is for

  • Organisations spread across departments and buildings
  • Hospitals moving records and results
  • Government offices circulating correspondence
  • Companies with branch offices

What it connects to

  • Label printers and QR scanners
  • HR systems for the department and owner map
  • Email and LINE for alerts
  • Electronic document storage
