The challenge
Tenants of commercial property dealt with the building team by phone, email, chat and paper — repairs, announcements, invoices, daily sales figures, contractor access. Each in its own channel, and nowhere to see what had happened to anything already raised.
Meanwhile the truth about contracts, invoices and payments lives in SAP S/4HANA, which tenants cannot reach and should not. The problem was opening a window onto a tenant's own data without touching the organisation's accounting system.
The scale: around 30 properties, some twenty thousand tenant accounts, and about five contracts each.
What GIPSIC did
Rather than another app for tenants to install, the portal was delivered inside Pikul — AWC's own app — reached from the services menu with the account a tenant already has, on iOS and Android alike.
Six parts: three front ends for tenants, administrators and contractors; two APIs whose authentication and permissions are separated from each other by design; and a background agent that syncs tenants, contracts and invoices from SAP, the data lake, eSMS and the e-tax service straight into the database rather than through any API — so the heavy synchronising never queues behind somebody waiting on a screen.
What a tenant can now do in one place: read announcements and return the acknowledgement form with a file attached, search and download from the document hub, raise a repair and follow it, send general requests and feedback, see invoices by branch and pay online, submit daily sales with evidence and review the history, and manage their own shop's users across three roles — owner, finance and operations — one account holding one role.
The hardest part is contractor access. A tenant raises a request and shares a private link; the contractor identifies themselves with the supervisor's phone number on the web, with no account in the system at all, then files daily work permits carrying the documents for hazardous work, the list of workers coming in, and what is being carried in and out — for the building team to approve.
The outcome
The system is live, reached through Pikul on iOS and Android.
Payment runs end to end: from the invoice raised in SAP, through clearing, to the Thai e-tax invoice landing back in the accounting system — so a tenant pays rent online without anyone re-keying it.
What used to be scattered across phone calls and chat threads now has a place to live, a status to follow, and a history that the tenant and the building team read from the same record.
