G TMS — Tenant Management, Run from LINE
Lease paperwork cut by 91%, from 96 hours a month to 8, on a platform tenants reach through LINE without installing anything new.
The challenge
The leasing team worked on paper and in Excel, so rent updates and sales tracking were always behind.
The harder problem was that everything was scattered. A tenant would phone about one thing, message a staff member's personal LINE about another, and email about a third. Proof of payment arrived as photos of transfer slips that somebody had to check one at a time. Contracts sat in filing cabinets. What a tenant leased across several units and branches lived in a salesperson's head, so anyone wanting to know had to ring and ask.
The team's time went on chasing, checking slips and answering the same questions again, instead of on the tenants themselves.
What GIPSIC did
G TMS gives tenants and the leasing team one place to meet.
Tenants use LINE, and install nothing
The decisive choice on this project was not to build an app. Tenants already have LINE open every day; asking them to install something else in order to pay rent once a month is the step most people never take.
Repairs and service requests
A tenant picks the service, names a date that suits them, and attaches photographs there and then. Staff pick the request up, assign it and run the work order from anywhere. When the appointment is confirmed, the notification goes back to the tenant's own LINE.
Paying online, with no slips
Tenants are reminded before rent, water and electricity fall due, with the lead time set to suit. They pay by card, mobile banking or another channel, and pull up their own payment history, invoices and receipts. Nobody on the other side checks a transfer slip any more.
Announcements and reminders
Announcements go to tenant groups the team defines, many at a time, and individual reminders — an appointment, a due date — send themselves. It all lives in the system with a history, rather than in one person's private chat.
Documents and contracts
Scanned documents are kept in order, soft copies go to tenants to review or sign through the system, and the dates that matter — expiry, renewal, deadlines — announce themselves, with a full record of what was downloaded and printed.
Many units, many branches
Everything one tenant leases sits on a single page, with their payments, contracts and appointments reachable from it. No more ringing a salesperson to ask.
Wired into what the business already runs
It connects to ERP, SAP, Salesforce, Oracle or the existing accounting system, signs people in through the company's own AD or identity provider, and works alongside the channels already in use — so nobody changes how they work in order to adopt it.
The outcome
Lease document handling fell 91%, from 96 hours a month to 8. Sales analysis got materially faster, and over 20% of tenants used the system to explore opening in a new branch.
G TMS now covers several shapes of the same problem: shopping centres and commercial buildings, residential leasing, dormitories and apartments, and warehousing — each with its own things to keep track of.
